Questions and Answers - Using PastPerfect

Q. How do I change an accession number?

A. From the main menu of PastPerfect, select Accession, move to the accession you wish to change.
On the lower left corner there is a button - Change Accession #.
From here you can change the number, and select to change the numbers of the object attached to the accession too.

A. From main menu of PastPerfect select Set up, Authority Files, on the right hand side Drop downs, Click on Disposal method and this will ‘pop out’
Here you can add or edit the list etc…

Hello there,

Well I am finally registered on here! And thank-you for your answers to my previous question! I will try that. I have two more questions as well.

1. Is there a need for a donor card file anymore once you have switched over the PastPerfect
2. How do I print out a catalogue records for one accession to put in an accession file from Pastperfect?

Hi Angela
My thoughts. Your donor records are within contacts. Your accession and deed of gift have details. You can scan and attach signed cooy as a PDF if you have Multi Media version.
For items within an accession, your report will do this. You can also use search to gather a list of everything within an accession. I can confirm details on Monday once back in office. Best Alison

Reports, Accessions, you can print the form with or without the items.
or from the Accession, you can print the form with or without the items.

From Search all catalogues, find the accession, from here you can print the list with images or without (deselect), standard or extended fields. You can also save this to excel, or save to a List.

Hi all,

My colleagues and I recently began receiving error messages (on multiple stations) asking us to re-index. I attempted to do so, but my computer froze 30% of the way through and had to be re-started. I then force-started the program in order to attempt a complete re-index cycle, but the program would not let me log on due to an "object catalog imbalance". I'm guessing this is because of the failed re-index attempt. Is there anything I can do on my end to fix it without calling technical support?

Hi there,
My advise would be a support call..... you don't want to end up with corrrupt data.

Do you reguarly re-index? You must always ensure everyone is off the system before you reindex. It helps sort the databases etc.
